Before tutoring starts, check the payment terms in the award and any provider agreement. The value of approved services isn't money paid directly to a parent.
Find the payment instructions
Look for whether the document calls for direct provider payment, reimbursement, or another arrangement. Check any rate, qualification, authorization, or documentation conditions. NYCPS has an implementation process for hearing orders; use its current instructions and the actual order rather than assuming one payment model applies to every case.
Ask about anything you may be asked to sign
Request a plain explanation of private charges, cancellation fees, deposits, and responsibility for disputed invoices. Ask what happens if approval is delayed or a bill is rejected. Don't assume that the phrase school-funded means every term in a private agreement is covered.
Keep authorization and billing records together
Save written approval, the provider agreement, attendance records, and relevant invoices or statements. If a problem arises, identify the specific service dates and the unresolved payment item. Discuss the issue through the appropriate implementation channel or with your representative before making assumptions about liability or stopping needed services.
Your next-step checklist
- Identify the payment route in the document.
- Ask about private charges before signing.
- Keep approval and completed-session records.
