An hours tracker should record time actually used, beyond what was on the calendar. Keep it alongside the award so you can check both the remaining balance and the deadline.
Begin with the correct starting balance
Copy the awarded amount for each service from the controlling document. If there are separate banks for tutoring and therapy, keep separate totals. Note whether the document uses sessions or hours and confirm the conversion if necessary. Don't combine unrelated authorizations into one balance without clarification.
Record actual completed time
Enter the date, provider, service, actual duration, and source of confirmation. Mark canceled sessions separately. For a 45-minute completed session, the arithmetic is 45 divided by 60, or 0.75 hours. Compare your record with provider statements and ask about discrepancies before subtracting a disputed entry.
Review the balance against the calendar
Subtract confirmed completed hours from the starting bank and compare the remaining hours with the time left. The awarded-hours planner can help estimate a weekly schedule. If the pace isn't workable, raise the issue early with the provider and your representative. A tracker can't change an award or extend its deadline.
Your next-step checklist
- Keep one balance per service bank.
- Record actual minutes and confirmations.
- Review remaining time before the deadline approaches.
